What we ask for, why a park permit needs your passport number, who actually sees your details, and how to get them back or deleted.

1. Who we are

Active Kili Top and Safaris is a Tanzanian tour operator based in Arusha, operating since 2010. We are the controller of the personal information described on this page — we decide what is collected and why.

Registered as registered legal entity name with BRELA under registration number BRELA registration number, and licensed by the Tanzania Tourist Board under TALA licence TALA licence number.

2. What we collect

When you send an enquiry

Our enquiry form asks only what a planner needs in order to answer you properly:

  • Your name, email address, phone or WhatsApp number, and the country you are travelling from.
  • When you hope to travel — month, year, and how many nights.
  • How many adults and children are coming, and the ages of any children.
  • What interests you, the style of camp you prefer, and a rough budget per person.
  • Anything else you choose to write in the notes.

None of it is mandatory beyond a way of replying to you. If you would rather not put your budget in a form, leave it blank and tell us on the phone.

If you go on to book

A confirmed trip needs more, because parks, airlines and camps require it:

  • Full name as printed in your passport, passport number, date and place of issue, expiry date, nationality and date of birth — required for park permits, Kilimanjaro registration and domestic flight manifests.
  • Dietary requirements, and any medical condition, allergy or medication that a guide would need to know about at altitude or hours from a road.
  • An emergency contact, and your travel insurance provider and policy number.
  • Your international flight details, so transfers meet the right aircraft.

Health information is sensitive. We ask for it only where it affects your safety on the trip, we pass on only what a specific camp or guide needs, and you can give it to us verbally instead if you prefer.

We do not use your details for marketing unless you ask us to, and we do not sell them to anyone, ever.

4. Children's details

We ask the ages of children because it changes the trip: some camps set a minimum age, some vehicles seat differently, walking safaris and balloon flights have age limits, and altitude affects children differently on a climb. We collect ages from the adult making the booking, never from the child, and we hold nothing about a child beyond age, name, dietary needs and anything medical you tell us.

5. Who we share it with

Only the people who have to have it to run your trip:

  • Camps, lodges and hotels — names, arrival dates, dietary and access needs.
  • Domestic airlines — name, weight allowance and passport details for the manifest.
  • Park and conservation authorities — TANAPA, the Ngorongoro Conservation Area Authority and Kilimanjaro National Park require named permits.
  • Guides, drivers and mountain crew — your itinerary and anything medical that matters on the ground.
  • Our payment providername the payment provider once chosen. We never see or store your full card number.
  • Insurers, medical or evacuation services — only in an emergency, and only what is needed to help you.
  • Our accountant and, where the law requires it, the Tanzania Revenue Authority.

6. Sending data abroad

We are in Tanzania, so if you write to us from the United Kingdom or the European Economic Area your information is transferred outside that area and stored here. Tanzania is not the subject of a UK or EU adequacy decision. We rely on the transfer being necessary to perform the contract you have asked us to arrange, or to take steps at your request before it. Tanzania has its own Personal Data Protection Act, 2022, and we handle your information in line with it.

7. How long we keep it

8. Your rights

You can ask us to show you what we hold, correct anything wrong, delete what we no longer need, or stop using it for a particular purpose. You can also ask for a copy in a portable format. Write to info@activekilitopandsafaris.com and we will reply within 30 days. There is no charge.

If you are unhappy with how we have handled it, tell us first — we would rather fix it. You may also complain to the Personal Data Protection Commission in Tanzania, or to the data protection authority where you live.

9. Security

The site is served over HTTPS. Booking files are held on name where booking files are stored — email, Drive, an operator system and reachable only by the planners working on your trip. Passport scans are deleted once the permits and manifests they were needed for are issued.

No system is perfect. If something ever went wrong that put your information at risk, we would tell you and the regulator rather than hope you did not notice.

10. Changes to this policy

This page was last updated on 12 August 2026. If we change how we use your information we will change this page and move the date, and where the change is significant we will tell anyone with a live booking directly.
